How does appointment notification work
What type of notifications are sent when someone books an appointment
In the calendar settings (Notifications and Additional Options), you have the option to send a notification email when an appointment is booked. You can choose to send this notification email to the following:
- Contact
- Assigned User
- Additional Emails
Unselected option will not receive a notification email.
Additionally, the CRM will automatically send an internal notification to all users when someone books an appointment.
If Assigned User is selected, but there is no user is assigned to the contact, who will receive the notification email? Will the booked user receive the notification email?
If Assigned User is selected but contact is unassigned, notification email will not be sent to any user.
Booked user is different from the assigned user. If Assigned User is selected and contact is unassigned, the user with whom the appointment was booked (booked user) will not receive the notification email.
However, please note that all users are automatically notified via an internal notification when someone books an appointment.
How can I send a notification email to the booked user?
To send a notification email to the booked user, you must assign the user to the contact when the appointment is booked and select “Assigned User” to receive the notification.

Yes, there is an option to assign the user that the contact booked an appointment with. Furthermore, there is also an option to skip user assignment when the contact is already assigned to a user.
If the user is assigned to the contact upon booking an appointment, will the assigned user automatically receive the notification email?
You need to select Assigned User in order for the user to receive the notification email. Otherwise, the notification email will not be sent to the user even if the contact is already assigned to it.
